Purpose of position:
Reporting to the Financial Controller, the Corporate Services & Systems Support Officer is a key support position within the WDC, providing comprehensive administrative, clerical, and IT support within the Corporate Services team and across the wider organisation.
The Corporate Services & Systems Support Officer works collaboratively as part of a team to meet organisational goals, objectives, and targets, delivering high-quality services to both internal and external stakeholders. The work requires flexibility, adherence to public sector values, and a commitment to enhancing public trust and confidence.
Key responsibilities:
IT Administrative Support
- Provide day-to-day user support and guidance on how to effectively use WDC’s suite of IT applications, helping colleagues navigate systems and workflows (note: core technical troubleshooting is managed by our outsourced IT provider).
- Manage the user lifecycle, including onboarding, permissions management, and offboarding for WDC’s systems.
- Assist with resolving system issues that affect user experience, outputs, and data quality.
- Liaise with third-party service providers to coordinate and manage technical resolutions.
- Provide training, documentation, and hands-on support to users.
- Develop and update Standard Operating Procedures (SOPs), user manuals, technical specifications, and workflows, including implementing modern technology and digital collaboration tools to assist with capturing our SOPs.
- Monitor user adoption and licence usage and maintain the IT assets register.
- Assist with the rollout of system updates or new software to ensure smooth implementation.
Reporting, Automation and Analytics.
- Contribute to system enhancement projects and organisational reporting improvements.
- Collaborate with WDC teams to understand data needs and deliver meaningful insights.
- Support the configuration and analysis of internal reporting tools.
- Contribute to data-driven projects by gathering requirements, performing analysis, and presenting findings.
User Support and Data Governance
- Support data accuracy, integrity, and completeness in line with data protection regulations and WDC’s standards.
- Assist with the effective management of WDC’s Data Protection Governance Framework.
- Promote best practices, including data entry protocols and change management procedures.
- Assist in audits or compliance checks related to data management, GDPR, or IT systems.
General Administration & Corporate Services
- Assist with maintaining and updating the organisation’s policy register, including recording policy reviews, updates, approval dates and review deadlines, and liaising with the Communications Team to ensure relevant policy information and updates are accurately reflected on the organisation’s website.
- Assist with the secure management of personal data across systems, including maintaining user access records, supporting data retention and data protection requests, reporting potential data breaches, and following GDPR, information security and records management procedures.
- Contribute to the development of organisational AI frameworks and policies and support the training, roll-out and compliance associated with same.
- Provide comprehensive clerical and administrative support across the Corporate Services Department to assist colleagues and managers in meeting key business deliverables, including creating and maintaining all necessary records, reports, and returns.

Eligibility Criteria and Experience:
Applicants must by the closing date of application have the following:
- Education: Minimum NFQ Level 6 qualification in Office Management, Business, or Information Systems.
- Experience: At least 2 years of relevant administration experience in a fast-paced, multi-project environment.
- Technical Skills & Systems Proficiency: High proficiency in Microsoft Office 365 (Word, Excel, PowerPoint), Microsoft Teams, remote working applications, and a proven flair for quickly mastering and navigating digital systems and databases.
- Attitude & Approach: A strong “can-do” attitude, a proactive mindset, and a self-starting drive that thrives with autonomy to learn and improve.

Conditions:
All appointments are subject to the Western Development Commission Act 1998 and staff must agree to the WDC Code of Business Conduct under the Code of Practice for the Governance of State Bodies.
The appointment will be for a full-time, permanent role, subject to a probationary period as specified in the employment contract. Candidates must satisfactorily complete a twelve-month probationary period before the permanent appointment can be confirmed.
Due to the nature of this role, the successful candidate will hold a full driving license and have access to transport as this post will involve travel nationally in support of the seven-county Western Region. When absent from home and your designated office location on official duty, you will be paid accordingly.

As a regional development agency serving Donegal, Sligo, Leitrim, Roscommon, Mayo, Galway and Clare, regular in-person engagement remains an important part of how we work. Staff are expected to attend team meetings, management meetings, staff development days and other organisational events held across the region throughout the year.
Many roles within the WDC also require engagement with businesses, communities, stakeholders and partner organisations across the Western Region. Employees are therefore expected to be available to travel and build relationships throughout the region as required by their role.
The WDC maintains flexible office locations in Sligo, Galway, Letterkenny and Ballaghaderreen. Employees may be required to attend these locations from time to time in line with business needs.
New employees, or those undertaking induction or probation, may be required to attend in person more frequently during their initial period of employment, as agreed with their manager.
Given the regional nature of the role and the requirement for regular in-person engagement across the Western Region, candidates should carefully consider their ability to meet these requirements when applying.
Salary:
The salary scale for this post will be equivalent to that of the Civil Service Clerical Officer Standard Scale:
